Personal Assistant

You will be joining a collegiate team of 3 PAs, working to support our office of around 16 people. Part of your role will entail supporting at least one Partner and the remainder will be day to day support to other lawyers and general office administration and some receptionist duties.


• Working in support of the Partners and Associates in the Luxembourg office as follows:-
• Diary Management, answering the phone and taking messages, document preparation, coordinating signatures, booking travel and general
administrative tasks as more particularly described below
• Attending to a number of administrative functions, including file opening, preparation of engagement letters, assisting with KYC compliance
and coordinating with clients, and generally maintaining client records
• Preparation, review and formatting of Word Documents in English and French
• Producing Power Point Presentations, Visio diagrams and Excel spreadsheets
• Carrying out a variety of other general office administrative functions, including
• Telephone answering, arranging meetings and conference calls, faxing,
• Photocopying, scanning, binding, filing,
• Some ad hoc receptionist duties
• Sorting, distributing and sending out mail and receiving couriers
• Booking meeting rooms and taxis
• Arranging client events, such as dinners, lunches, events
• Processing expenses and arranging for reimbursement for the lawyers
• Ordering stationery, coffee and general office supplies
• Assisting other PA team members as needed


• Outstanding organisational and time management skills
• Ideally Managerial Assistant qualified (University course) or secretarial qualification
• Must have proven work experience in administration/office management in a law office would be an advantage
• Microsoft Office suite proficiency
• Average typing speed of 50-55WPM would be an advantage
• Excellent attention to detail
• Fluency in English and French is essential
• Confident translating written documents
• Proactive, enthusiastic and conscientious
• Ability to communicate effectively with clients, staff and management in a number of different countries
• Ability to stay calm under pressure
