THE ROLE:
The Corporate Services Administrative Assistant (CSAA) is part of the Harneys Fiduciary (HF) business. HF provides corporate services to the firm’s international client base through the provision of registered office and related services in various jurisdictions throughout the world. The Corporate Services Administrative Assistant is responsible for a variety of general clerical and office support duties, which plays an integral part of the department’s success.

KEY RESPONSIBILITIES
1. Ensure all corporate documents are filed in the minute books on a timely basis in
accordance with Harneys Fiduciary’s (HF) policies and procedures
2. Sort, log and distribute both incoming and outgoing couriers
3. Ensure all Mail Forwarding clients are being serviced in accordance with HF’s policies
and procedures
4. Electronically file all correspondence related to clients in accordance with HF’s policies and procedures
5. Maintain the minute books in good order advising the CST Leaders of any concerns
(ie missing registers, certificates of incorporation etc)
6. Scan documents as required and save to the required location in FileSite in
accordance with HF’s approved naming convention
7. Track and maintain a log of files in order to ensure that borrowed files are returned to
the file room
8. Obtain appropriate signatures on documents as requested (minutes, resolutions,
certificates of incumbency, formation documents)
9. Assist and support HF team as required
10. In the absence of a member of the CST, deal with enquiries professionally and pass
messages to the appropriate team member as quickly as possible
11. Maintain designated archiving area in accordance with HF’s policies and procedures
12. Any other duties that may be assigned from time to time which may include, but is not
limited to:
• Assist with special projects such as regulatory inspections and data comparison
• Occasionally respond to telephone calls
• Any other duties as requested by the CST Leaders in the furtherance of providing
prompt responses to client and legal staff

QUALIFICATIONS:

• High School Diploma
• Basic IT knowledge (MS Office & Outlook required)
• Knowledge of Viewpoint and Filesite preferred
• 1 to 3 years working in an office environment
• Previous experience in corporate services desirable
• Ability to work independently
• Use of initiative to improve processes
• Can work within a team structure
• Team spirit and professionalism, assisting colleagues and the business as needed
• Good command of English business communication
• Proficient in MS Office and Outlook
